This Privacy Policy explains how Sync Studio collects, uses, shares and protects personal information when you visit sync-studio.info, submit a consultation request, schedule or attend a consultation, receive business communications from us, or work with us as a client or project contact.
Sync Studio is a trade name of L-W Capital Management LLC, a limited liability company based in Massachusetts, USA (“Sync Studio,” “we,” “us” or “our”). For the purposes of the EU and UK General Data Protection Regulations, L-W Capital Management LLC is the controller of the personal information described in this policy, except where we process information on a client’s behalf (see Client project content).
Sync Studio serves businesses. Our website and services are intended for professionals acting in a business capacity, not for consumers or children.
Summary
- We collect the information you choose to give us — mainly business contact details and information about your initiative — plus limited technical data needed to run the website.
- We use it to respond to you, prepare and hold consultations, deliver projects, run our business and keep the website secure.
- We do not sell personal information, and we do not use advertising cookies, analytics tags from third parties or cross-site tracking.
- Trusted service providers process information for us under contract. Our contractors are bound by written confidentiality and information-security commitments.
- You can ask to access, correct or delete your information, or stop marketing emails, at any time by emailing consulting@sync-studio.info.
1. Information we collect
Information you provide to us
- Consultation request form: first and last name, business email, company name, role or title, industry and company size; details of your initiative (type, stage, audiences, communication type, preferred production approach, timeline, expected scope, description and notes); the materials you have available; your optional Scope Builder selections; and any files you choose to upload (up to 5 files, 25 MB each and 50 MB in total).
- Scheduling: when you book a consultation through our scheduling provider, the name, email address, time slot and any answers you enter there.
- Communications: emails, messages, calls and meetings with us, including your contact details and anything you share. If we want to record or transcribe a meeting, we will tell you beforehand and you may decline.
- Client engagements: names and business contact details of project and billing contacts; information needed for statements of work, invoices and payments (such as company billing details and purchase-order references); and the project materials you provide.
- Likeness and voice for digital presenters: if a client asks us to create a digital presenter based on a real person, we collect that person’s photographs, video and/or voice recordings and their signed consent. We do this only with the individual’s written authorization.
Information collected automatically
- Technical and log data: when you visit the website, our hosting provider automatically receives standard information such as your IP address, browser and device type, operating system, the pages you request, the referring page and the date and time. It is used to deliver the site, keep it secure and understand overall usage.
- Cookies and similar technologies: described in Cookies and similar technologies.
Information from other sources
- Business contact research: to identify professionals who may be interested in our services, we may collect business contact information (such as name, job title, employer, business email address and professional profile) from company websites, professional networks, events and reputable business-information sources. We record where each address came from.
- Social media: if you interact with our LinkedIn, Instagram or X pages, we receive the information those platforms make available to page owners.
- Clients and partners: a client or partner may share your business contact details with us so we can work together on a project.
Information we ask you not to send. Please do not submit Social Security or other government identification numbers, financial-account or payment-card numbers, passwords, health information or other sensitive personal information through our website or in project materials unless we have agreed in writing how it will be handled. If you need to share confidential materials, ask us about a non-disclosure agreement first.
2. How we use information
We use personal information for the purposes below. Where the EU or UK GDPR applies, the right-hand column shows the legal basis we rely on.
| Purpose | Examples | Legal basis (EU/UK) |
|---|---|---|
| Responding to inquiries and preparing consultations | Reviewing your request, assigning a reference number, matching your booking, preparing a meeting brief and following up | Steps taken at your request before a contract; our legitimate interest in responding to business inquiries |
| Providing our services | Scoping, statements of work, scripting, production, reviews, delivery and support | Performance of a contract; legitimate interests where the contract is with your employer |
| Running our business | Invoicing, payments, accounting, tax, record-keeping, contractor management and quality control | Legal obligations; legitimate interests |
| Business development | Sending relevant business communications to business contacts and sharing examples of our work | Legitimate interests, or consent where the law requires it. You can object or unsubscribe at any time. |
| Digital presenters | Creating and using a likeness or voice of a consenting individual for an agreed project | Consent, which can be withdrawn for future use at any time |
| Website operation and security | Hosting, troubleshooting, preventing spam and abuse (for example, limiting repeated submissions) and measuring overall site usage | Legitimate interests in operating a secure, working website |
| Legal and compliance | Complying with the law, responding to lawful requests, enforcing our terms and establishing or defending legal claims | Legal obligations; legitimate interests |
We do not make decisions about you based solely on automated processing that produce legal or similarly significant effects.
3. AI-assisted tools
- We use AI-assisted software, including AI agents operated by or for Sync Studio, to help organize consultation requests, draft meeting briefs and follow-up messages, manage outreach and unsubscribe lists, and support creative production such as scripting, voice generation, animation and digital presenters.
- People stay in control. AI tools do not set prices, sign agreements or make commitments for us, and important communications are reviewed by a person before they are sent.
- We use AI tools with settings appropriate for business use, and we do not put a client’s confidential materials into an AI service unless the client’s agreement or written instructions allow it.
- Concept demonstrations on our website — including fictional organizations such as “ACME” and their presenters — are illustrative and may be fully or partly AI-generated.
6. How long we keep information
| Information | Retention |
|---|---|
| Consultation requests and uploads that do not lead to an engagement | Up to 24 months after our last contact with you, then deleted or anonymized. You can ask us to delete them sooner. |
| Client, contract and billing records | For the engagement and 7 years afterward, to meet legal, tax and accounting requirements. |
| Project materials and deliverables | As set out in the statement of work; otherwise for the engagement and up to 3 years afterward so we can support revisions, then deleted or returned. |
| Likeness and voice data | Only as long as the signed consent allows. After consent is withdrawn or the permitted use ends, we delete the source recordings and any avatar or voice model we control. Withdrawal does not affect deliverables already approved and delivered under the consent. |
| Business-development contacts | Until you object or unsubscribe, or after 24 months without engagement. We keep a minimal suppression record so we can honor your choice. |
| Website technical data | According to our hosting provider’s standard, short-term retention periods. |
We may keep information longer where the law requires it or to establish, exercise or defend legal claims.
7. Security
We use administrative, technical and organizational safeguards designed to protect personal information, including encrypted (HTTPS) connections, private storage for uploaded files, access limited to the people who need it, and written confidentiality and information-security obligations for our contractors. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a security incident affects your personal information, we will notify you and the authorities as required by law.
8. International transfers
We are based in the United States, and our service providers may process information in the United States and other countries. When we transfer personal information from the European Economic Area, the United Kingdom or Switzerland, we rely on an appropriate safeguard, such as the EU-U.S. Data Privacy Framework (and its UK and Swiss extensions) where the recipient is certified, the European Commission’s Standard Contractual Clauses with the UK Addendum, or another lawful mechanism. Contact us for more information.
9. Client project content
When a client engages us, it may provide materials that contain personal information about its employees or others — for example, names in system screenshots or a presenter’s likeness. We process that information on the client’s behalf, following its instructions and our agreement with it. In that case the client’s privacy notice applies and requests about that information should go to the client; we will help the client respond.
10. Your rights and choices
- Everyone: you can ask us to access, correct or delete your personal information, or to stop sending you marketing emails. Every marketing email includes an unsubscribe option; you can also reply “unsubscribe” or email us. We act on unsubscribe requests promptly and no later than 10 business days.
- EEA, UK and Switzerland: you have the right to access, rectify or erase your personal data; to restrict or object to processing, including an absolute right to object to direct marketing; to data portability; and to withdraw consent at any time without affecting earlier processing. You may also complain to your local data-protection authority, though we would appreciate the chance to address your concern first.
- U.S. state privacy rights: depending on where you live, you may have rights to know, access, correct, delete and obtain a copy of your personal information, and to opt out of the sale of personal information, targeted advertising and certain profiling. We do not sell personal information or engage in targeted advertising. We honor these requests from all requesters, whether or not a particular state law applies to us. If we decline your request, you may appeal by replying to our decision with “Appeal”; we will respond in writing within the time the law requires, and if you remain unsatisfied you may contact your state attorney general.
- Global Privacy Control and Do Not Track: we treat a Global Privacy Control signal as a request to opt out of any sale or sharing of personal information for that browser. Because we do not sell or share personal information or track you across sites, our practices are the same either way. There is no common standard for “Do Not Track” signals, so we do not respond to them differently.
- How to make a request: email consulting@sync-studio.info with “Privacy Request” in the subject line, or call (339) 234-9043. We will verify your identity using information we already hold — usually by confirming you control your email address — and respond within 30 days, or within the longer period the law allows, in which case we will tell you. An authorized agent may make a request for you with your written permission. We will not discriminate against you for exercising your rights.
11. Children
Our website and services are not directed to children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has given us personal information, contact us and we will delete it.
12. Third-party sites and services
Our website links to, or embeds, services operated by others, including Calendly, LinkedIn, Instagram and X. Their own privacy policies govern the information they collect.
13. Changes to this policy
We may update this policy from time to time. We will post the new version here with a new “Last updated” date and, if the changes are significant, give additional notice — for example, on the website or by email.
